Cancellation & Refund Policy

Note: This is a documentation-friendly version of MedFeed’s official policy. It explains the rules clearly for hospital IT, billing teams, and managers. The binding legal version remains on the MedFeed website.


1. Cancellation Rules

Customer-initiated:

  • Provide 30 days’ written notice before cancellation.
  • No refunds for unused portions of a subscription period or prepaid credits.

Company-initiated:

  • MedFeed may cancel your subscription if you breach the Terms (e.g., non-payment).
  • In such cases, no refunds will be provided.

💡 What this means for you:
Plan cancellations in advance of your billing cycle. Don’t expect a refund for partially used months or leftover credits.


2. Refund Rules

  • Generally non-refundable: All subscription fees and credits are non-refundable.
  • Exception: Within 5 days of initial account activation, if no usage has occurred, MedFeed may (at its discretion) issue a refund.
  • Failed delivery: If account activation fails due to MedFeed’s technical error, a pro rata refund may be offered.
  • Disputes: Submit written requests with evidence within 5 days of invoice. Decisions are final at MedFeed’s discretion.

💡 What this means for you:
Test the account right after activation. If something’s wrong, act within 5 days. After that, refunds are nearly impossible.


3. After Cancellation

  • Platform access ends immediately or on the effective date.
  • All prepaid credits are forfeited.
  • MedFeed may delete Customer Data (patient feedback, notes, etc.) after cancellation.
  • You remain responsible for fees incurred before the effective date.

💡 What this means for you:
Download/export necessary reports and patient data before cancelling. Once cancelled, you may lose access permanently.

5. Checklist: Before You Cancel

  • Confirm your billing renewal date.
  • Export all required patient reports & feedback data.
  • Use up prepaid credits (they don’t roll over).
  • Give at least 30 days’ written notice.
  • Document your request with email proof.
